Nonprofit

One donor record instead of four spreadsheets

Overview

A nonprofit’s donor history had grown across four separate spreadsheets over several years — one per program, roughly — with no single view of who a donor actually was across all of them.

The challenge

Recurring gifts were tracked manually, which meant a missed or failed payment could go unnoticed for a while, and reporting on giving history meant manually cross-referencing multiple files rather than pulling a single, trustworthy number.

The solution

We consolidated giving history into Salesforce so each donor exists as one record rather than a slightly different row in four different sheets, rebuilt the donation flow itself, and set up recurring gift handling so ongoing donations are tracked as an actual status on the donor record, not inferred from a spreadsheet edit.

Services involved

  • Salesforce (donor records and recurring gift tracking)
  • Web development (the rebuilt donation flow)

Outcome

Recurring donors up in the first campaign cycle run through the new donation flow, with giving history now visible from a single donor record instead of reconciled by hand across four files.
